Programme Officer.

Academy in the Arts, Contract Role (1 year), London (Hybrid), £22k-£26k p.a

Our client a prestigious academy in the arts is seeking a full-time Programme Officer to join their team. The Programme Officer will be responsible for supporting senior managers in the planning and delivery of the programme, ensuring it is delivered to the highest standard and in an efficient manner. This is a fixed-term contract until the end of August 2024. 

Key Responsibilities include:

• Provide administrative support for trainees, students, academics, and stakeholders

• Develop and strengthen relationships with internal and external stakeholders

• Respond to general enquiries about the programme

• Coordinate administrative processes for Partnership Schools/Colleges and trainee allocation

• Maintain GDPR compliant student databases

• Assist with admissions processes and enrolments/registration

• Ensure up-to-date timetables and session bookings

• Organise training days and programme-specific events

• Service meetings for the programme and other required meetings

• Support quality assurance and collect trainee and student feedback

• Maintain accurate records for inspections and teacher registration

• Update and maintain relevant pages of the Virtual Learning Environment (VLE)

• Support the development of the VLE and student information database

• Provide data to the Finance department regarding student allocations and funding

• Coordinate invoices for tutors/partnerships

• Contribute to events such as Awards Day and Open Days

• Undertake other requested duties as needed

Some desired attributes and qualities 

• Educated to Degree level or equivalent experience

• Experience in administrative procedures within a busy office environment

• Familiarity with higher/further education context

• Excellent written and oral communication skills in English

• Experience in servicing committee meetings (preparing agendas, taking minutes, etc.)

• Ability to work independently and in a team, meeting agreed targets

• Discretion and ability to maintain confidentiality

• Confidence in dealing with inquiries from the general public, colleagues, and students

• Strong analytical and IT skills (Microsoft Office: Word, Excel, PowerPoint)

• Experience with website content management systems

• Familiarity with Virtual Learning Environments (such as Moodle)
