Personal Assistant.
Architecture Firm, London, Permanent, £40,000-£50,000 per annum
Our client, an architecture firm in London, requires an experienced Personal Assistant to support one of the Executive Directors.
Responsibilities
• Extensive diary management using Microsoft Outlook, including forward planning, meeting preparation, room/venue bookings, and coordination of all Director’s activities.
• Managing and reviewing the director’s inbox, responding to emails on his behalf, researching and drafting replies when necessary.
• Providing email dictation during regular catch-ups with the director.
• Scheduling regular catch-ups with the director to review his diary and outstanding tasks.
• Acting as a gatekeeper, handling phone calls and visitors, taking messages, and ensuring appropriate action is taken.
• Building and maintaining good working relationships with current and potential clients.
• Handling paperwork, including binding, scanning, post, and managing both paper and electronic filing using a central document management system.
• Arranging business trips and personal travel arrangements globally, including flights, hotels, trains, car hire, visas, and insurance for clients and staff.
Requirements and desired attributes
• Strong organisational skills and excellent attention to detail
• Ability to meet deadlines and handle multiple tasks simultaneously
• Maintains confidentiality and discretion
• Fast and accurate touch typing with a minimum speed of 60 words per minute.
• Works well independently and can make decisions on behalf of the Executive Director
• Motivated, enthusiastic, and flexible with a positive and helpful attitude
• Excellent communication skills at all levels
• Strong team player, collaborating with other members of the Practice Operations team and architectural teams
• Punctual
• Proven experience as a PA at the Board level or similar
• A-Level education or equivalent
• Excellent command of the English language
• Advanced IT skills, particularly in Microsoft packages (Outlook, Word, Excel, PowerPoint, InDesign)
