Our client is a leading organisation in the cultural and arts world, are looking for a PA to start ASAP to support a busy Director. The successful candidate will be a confident user of Microsoft Office suite, able to handle a busy email inbox and organise the Director’s complex diary. This organisation prides itself on its welcoming and friendly working environment, and plays a pivotal role in the Arts and Cultural world.

 The main duties of the PA role are: 

Providing administrative and secretarial support to the Director, including diary and inbox management
Coordinate and support in person and virtual meetings, including scheduling in-person and virtual meetings, booking, and preparing rooms, arranging catering/refreshments
Preparing and distributing of all relevant meeting documentation, agendas, and taking minutes
Arrange domestic and international travel, accommodation, itineraries as appropriate
Collate and circulate reports
Assist with phone and email enquiries, welcoming visitor, and organising refreshments
Assist with document preparation for meetings
To actively participate in team meetings, planning, development, and team building events
Undertake financial administration including processing expenses, travel costs, invoices, and purchase orders as necessary

 Skills and experience

Experience in a coordination role within a similar creative organisation, directly supporting at management level
Excellent organisational skills, with a proven ability to prioritise multiple work streams and to manage and meet deadlines
Relevant PA experience including travel arrangements diary and email management
An ability to foresee and analyse complex problems and challenges and provide creative solutions.
Computer literate with a good working knowledge of Microsoft Office
