Graduate Recruitment/Pupillage Administrator.

Our client, a leading Law Firm is looking for a Graduate Recruitment/Pupillage administrator to start ASAP – London, 12-month fixed term contract

Responsibilities of the Graduate Recruitment/Pupillage Administrator role are:

Pupillage – external 

  • Answering all postal/email enquiries 
  • Maintaining all applications (postal or online)
  • Collating applications for distribution to/consideration by the pupillage committee; corresponding with applicants; apply for references; send out offers/rejections in writing
  • Arrange mini pupillage interviews, diarise with interviewers, prepare interview papers, contact candidates following interviews to inform them of result
  • Allocate mini pupil candidates to supervisors 
  • Fixing pupillage committee meetings 
  • Process Pupillage Gateway applications 
  • Index and file/scan all papers in archive at the end of the pupillage cycle 
  • Maintaining the database and preparation of annual reports 

Pupillage internal 

  • Liaising with Bar standards Board 
  • Assist with inductions 
  • Collating information for annual internal pupillage review 
  • Collage, copy and circulate reports 
  • Arrange training sessions 
  • Preparing information packs 
  • Arranging pupil supervisors for work shadowing/Bar Council mentored schemes 
  • Booking of law fairs 
  • Establishing and maintaining links with universities 
  • Ensuring Chambers’ entry in Pupillage handbook and applications data updated and that both external websites are altered to match 
  • Arranging reception for new pupils and the next year’s joiners plus other ad hoc events for pupils during the pupillage year; arranging attendance by barristers.

Person specification and skills 

  • This is a highly important function and requires excellent communication skills and interaction both with potential applicants, selected pupils and members of Chambers
  • Good organisational skills 
  • Excellent attention to detail 
  • Ability to work well under pressure 
  • Approachable and confident 
  • Full appreciation of issues of confidentially in handling sensitive data
  • Although this is a standalone role, the successful candidate will also demonstrate ability to work with a small team and may be required, on occasion, to assist at other Chambers’ marketing events 
  • IT literacy – good knowledge of MS Word and Excel is required 
  • Previous experience of working in graduate recruitment would be a strong advantage
