Assistant Registrar.

Academy in the Arts, Permanent role, £30k-£35k p.a

Our client a prestigious academy in the arts requires an Assistant Registrar. In this role, you will play a crucial part in developing, promoting, overseeing, coordinating, administering, and delivering undergraduate and postgraduate degree, diploma, and certificate programs.

Responsibilities:

Set up, process, and maintain student records and files

Collaborate with the Head of Quality Assurance to ensure quality standards are met

Lead student tuition fee invoicing and payment tracking

Liaise with agencies such as the Student Loans Company

Contribute to the development of the student records database

Represent the Registry team at Induction and Open Day activities

Act as the Information Management Champion for the Faculty of Education

Manage Admissions Officer and Assessments Officer for student records

Coordinate with Assessments Officer for student requests and outcomes

Maintain internal quality assurance processes and compliance with external standards

Ensure compliance with consumer law and regulatory requirements in public-facing documents

Assist with annual policy review and dissemination

Track student fee payments and coordinate data returns

Oversee processing of criminal record checks

Coordinate the development of the student records database

Process assessment results and correspondence with External Examiners

Coordinate printing of award certificates and transcripts

Liaise with Registrar for Awards Day organisation

Manage alumni relations and analyze return data

Desired attributes and skills 

– Educated to Degree level (or equivalent experience)

– Experience in an administrative capacity in a data-sensitive, customer-centered environment

– Previous experience of working within Further/Higher Education

– Experience of working in all areas of student lifecycles with knowledge of student finance

– Ability to work well in a team situation to agreed targets, maintaining confidentiality

– Competent written and oral skills to provide clear and concise information

– Experience of interpreting and giving advice on policies and regulations, including Competition & Markets Authority and General Data Protection Regulations

– Customer-focused approach with confidence in dealing with enquiries from internal and external stakeholders

– Ability to build rapport and work with different people

– Ability to work quickly and accurately under pressure

– Ability to prioritize work effectively and take initiative

– Strong IT skills using Microsoft Office: Word, Excel, PowerPoint, Databases

– Knowledge of financial IT packages and bespoke databases

– Tact and diplomacy

– Interest in working in an arts environment
